<h2>USB Drives &#8211; For Occasional Transfers</h2>
<p><img class="alignright size-full wp-image-54390" src="http://notebooks.wpengine.netdna-cdn.com/wp-content/uploads/2011/03/portable-backup-large-thumb-flat1.jpg" alt="ClickFree USB Hard Drive" width="197" height="124" />If you only need to occasionally transfer a few files, the fastest way is to just get a USB hard drive or flash drive and plug it into the source computer, copy it over and then unplug it. Take the drive to the other computer and plug it in and copy it wherever you want it. On Windows you would use Windows Explorer and on a Mac you would use Finder.</p>
<p>If you want it to be more automatic, one solution might be <a href="http://www.clickfree.com/products_portable_backup.php#">Clickfree&#8217;s USB backup drives</a>. They make it pretty easy to do. Just plug in the drive and it finds the files in your user or home folder and copies them over. The first time will take a long time, but after that it just grabs new or changed files. Now you can take the drive to the other computer and have access to the files you want.</p>

<p>When moving between Windows and a Mac, file formats can be in issue. For example it is not easy to read files created in Pages on a Mac when they are on a Windows computer. We have a <a href="http://notebooks.com/2011/02/24/how-to-open-apple-pages-documents-without-pages/">guide to show you how</a> to do that if that is your issue. Otherwise, be sure to save files on the Mac in a format that your Windows computers can read or vice versa. For example, in Pages, Numbers or Keynote on a Mac, save your files in formats that are compatible with Microsoft Office. In Pages go to File, choose Save As, and then look for the drop down box at the bottom. Select it and then choose Word Document from the drop down list.</p>

<p>It is much easier when going from a Windows computer to a Mac. Most file formats that can be created on a Windows computer can be read by software on a Mac. If you have problems, do a Save As in the program and choose one of the following formats:</p>
<ul>
<li>Word, Excel, PowerPoint (can be read by Office and iWork)</li>
<li>PDF (can be read by Macs with Preview app)</li>
<li>RTF (can be read by Macs with Text Edit app)</li>
<li>Almost any picture file format including JPG, PNG, GIF, TIFF, BMP</li>
<li>Video files work best on Mac with M4V, MOV, MPG</li>
</ul>
<h2>DropBox or SugarSync &#8211; For Syncing Lots of Files Between OS X and Windows</h2>
<p>If you have a lot of files to keep synchronized on both Mac and Windows, then services like <a href="https://www.dropbox.com">DropBox</a> or <a href="https://www.sugarsync.com/">SugarSync</a> are great tools. If you are coming from Windows and already use <a href="http://explore.live.com/windows-live-mesh?os=other&amp;wa=wsignin1.0">Windows Live Mesh</a>, it too works on a Mac, but we think these other solutions are better.</p>
<p><strong>What is synchronization? </strong>It is automatic copying of files between two devices. If you create a Word document on your Mac and save it to a synchronized folder, it will automatically upload to the service&#8217;s online storage site and then download it to the second computer. Then, let&#8217;s say you go to the other computer and open the file and edit it. Save it and close it and the file will become available on the other computer and the online storage site. Be sure to close files or they will not sync.</p>
<p><strong>Security: </strong>If you are worried about security, remember a few things. First, both services encrypt the files which scrambles them and keeps them from being viewed by anyone other than you, unless you give away your password or put the file in a special public folder that it is viewable by others. Don&#8217;t put anything in that public folder and you have nothing to fear.</p>
<p>Second, if you are afraid of having your files on the Internet, remember they are encrypted. Only you can read them. Also, this is no different than having your email on the Internet. In fact email is less secure than these services, so as long as you create a secure password and keep others from getting access to that password, you should be safe.</p>

<p>The basic operation of each service is the same. Install the client software on both machines, With DropBox there is a new folder in the user folder. Anything put in that folder is synced. On SugarSync, just tell the program which folders you wish to sync. From then on, any files in the folders will be synced immediately after they are saved or changed. Also, you can access them at the online site from multiple devices, including any computer, tablets, or smart phones including Android, iPhone, Blackberry and Windows Mobile. The only Windows Mobile app comes from SugarSync, so if you use that device, that&#8217;s the service to use.</p>
<p>These services are popular so many other programs and apps will work along with them. So let&#8217;s say you snap a photo on your iPhone or Android phone. Many apps will take those files and upload them to DropBox for you.</p>

<h2>Network Attached Storage &#8211; for Making Files Available, but not Stored Locally</h2>
<p>A third option is for those who want to keep files available to a Macbook Pro or MacBook and a Windows notebook, but do not want to actually store them all on both computers. For example, let&#8217;s say you are creating a bunch of videos on your MacBook. After creating the video you want to be able to access it from the Windows computer, or any other computer. But you don&#8217;t think you will want to access that file all the time. There is no reason to copy it to the other computer&#8217;s hard drive until you plan to view it.</p>

<p>The best solution for this is a network attached storage device, or NAS. If you have a network at home to share your Internet connection between multiple computers, then you will likely have a router. The router might have a USB port on it intended for hooking an external USB hard drive (see above &#8211; <a href="http://kb.netgear.com/app/products/model/a_id/13608">Netgear WNDR3400 Wireless Dual Band Router</a>). Consult your router&#8217;s support page or documentation to see if it does. If so, you can get a cheap USB hard drive and plug it in. Configure it to be available to all the computers on your home network. It might even have the ability to make the files available to you over the Internet.</p>
<p>If your router doesn&#8217;t have a USB port on it, then you might want to try out a device like the <a href="http://www.pogoplug.com">PogoPlug</a>. We <a href="http://notebooks.com/2010/10/28/pogoplug-wireless-and-print-functionality-a-mixture-of-convenience-and-frustration/">reviewed the older version</a> and found that for accessing files over a network or from the Internet, it is great.</p>

<p>PogoPlug is a box that plugs into your network via an Ethernet cable. It can also be done wirelessly, but if you can we recommend using the Ethernet cable. Then, you plug in up to four hard drives which can then be accessed from any computer on the network or through a special web interface anywhere in the world from the Internet. There are a lot of other features to including:</p>
<ul>
<li>Accessing from tablets and smart phones</li>
<li>Sharing certain models of printers over the Internet or to some tablets and smart phones</li>
<li>Sending file to hard drive via email</li>
<li>Streaming video, music and pictures via the Internet to many devices</li>
</ul>
<p>Setup is a little tricky, but it is worth it. They have three options, but we recommend the PogoPlug Pro. It has built-in Wi-Fi and replaced the ugly pink with black. It is <a href="http://www.pogoplug.com/home-en-buy-now-pogoplug-pro.html#/assets/PogoplugPro/ProFront_player.jpg" rel="shadowbox[sbpost-54387];player=img;">$99 direct</a> although we found one on <a href="http://www.amazon.com/Pogoplug-Media-Sharing-Device-Black/dp/B0048KR1KU/ref=sr_1_1?ie=UTF8&amp;s=electronics&amp;qid=1300294811&amp;sr=8-1&tag=notebookscom-20" rel="nofollow">Amazon for just $72.23</a>.</p>
<h2>Google Docs or Windows Live SkyDrive &#8211; for Transferring Office Documents Between Mac and Windows</h2>
<p>Some people only want to share their office documents, like word processor files, spreadsheets, presentations, etc. For those people, the best option might just be to use either <a href="https://docs.google.com">Google Docs</a> or <a href="http://explore.live.com/windows-live-skydrive">Windows Live SkyDrive</a> in conjunction with Microsoft Word 2010 and 2011. <a href="http://explore.live.com/windows-live-skydrive-using">Microsoft&#8217;s tutorial page</a> shows how their service works.</p>
<p>For SkyDrive, from within Microsoft Office 2011 apps on a Mac, like Word, just choose File, Share and then &#8220;Save to SkyDrive&#8230;&#8221;. It will ask you for your user name and password and export the file to the online storage. Then, just access it by going to your SkyDrive page on the other computer.</p>

For this to work you will have to have a Windows Live ID, which you can <a href="https://signup.live.com/signup.aspx?wa=wsignin1.0&amp;rpsnv=11&amp;ct=1280795923&amp;rver=5.5.4177.0&amp;wp=MBI&amp;wreply=http:%2F%2Fhome.live.com%2F&amp;id=251248&amp;mkt=en-US&amp;bk=1280795923&amp;rollrs=12&amp;lic=1">get at the Windows Live site</a>.</p>
<p>If you prefer to use Google Docs, you will need an account. For Gmail users, you already have one. Just go to the <a href="http://docs.google.com">Google Docs</a> site and sign in using your Gmail credentials. From there you can create the document and save it. Then go to the other computer and sign in and open the document.</p>
<p>One benefit of Google Docs is you have both Google&#8217;s online office suite, but you can also upload a lot of different files formats and have them accessible online.</p>

<li>Word .doc</li>
<li>OpenDocument text .odt</li>
<li>StarOffice text .sxw</li>
<li>PowerPoint .ppt and .pps</li>
<li>Excel .xls and .xlsx</li>
<li>OpenDocument spreadsheet .ods</li>
<li>Comma-separated .csv</li>
<li>Windows Metafile .wmf</li>
<li>Photos with .jpg, .gif and .png formats</li>
<li>PDF</li>
</ul>
<p>One thing is for certain, sharing files between Mac OS X and Windows is much easier than it used to be thanks to a collection of free or cheap tools. If you switch between systems on a regular basis we highly recommend one of these solutions to simplify your file sharing and access.</p>

Thanks to the recent <a href="http://notebooks.com/?p=51816">addition of 12 new file formats to Google Docs compatibility list</a>, anyone can open and view a Pages document.</p>
<p>First, to open the Pages document in Google Docs, the user must have a valid Google Apps account. This comes standard with any Gmail account. If you don&#8217;t already have one, <a href="https://www.google.com/accounts/NewAccount?service=mail&amp;continue=http://mail.google.com/mail/e-11-1371e06938cb2866eb9f2b3668200-316b4c8f588f091134d2012da965a20aa94952bb&amp;type=2">sign up for a free account</a>. After signing into the new Gmail account, find the Documents link in the upper left part of the screen. Now click the Upload button on the left.</p>

<p>From the next screen, either drag and drop the file into the box that says &#8220;Drag and drop files here&#8221; or choose the &#8220;Select files to upload link&#8221; below that. In our experience the Drag/drop box was not working on a Mac. It could just be an anomaly.</p>

<p>Select the Pages file, if you choose the link instead of drag/drop, and it will start to upload. If you wish to import the file into a specific collection, do so before hitting the &#8220;Start upload&#8221; button by choosing the Destination collection drop down button (see above). Also the privacy option can be selected here too.</p>
<p>Once the file is uploaded, there will be a link to view it within Google Docs on the resulting page. The image below shows that it worked flawlessly on the document we tested.</p>

Especially since you can see the edits others make to the document.</p>

<p>For example, creating an expense report based on a template might save someone a lot of time instead of making it from scratch. We will show you how to set up a new document based on a template using Google Docs. The principals are the same regardless of what software or cloud document service you use.</p>
<p>To start you will need a Google Docs account. If you have a Gmail account or your company/web site has <a href="http://www.google.com/apps/" target="_blank">Google Apps for Your Domain</a> set up. We will assume that you have one or the other. For this How To we will use the publicly available Gmail version. It should look the same on a Google Apps account.</p>
<p>Log into your account and select the “Documents” link near the top towards the left side.</p>

<p style="text-align: left;">Now select the “Create new” drop down box and click “From template…” at the bottom.</p>

<p>A new window will open showing you all the “Template Gallery” which has three tabs as follows:</p>
<ul>
<li>Public Templates – those available to all Google Docs users</li>
<li>Templates I’ve Used – those you have used before; this will be blank unless you have created a new document from a template before</li>
<li>My Templates – these are templates you create; it too will be blank unless you have made your own template in the past</li>
</ul>
<p>Along the left side is a list of filters which will narrow down the kinds of templates that are available. For example, the top section filters by those that are “Hottest”, “Most users” and “Highest rating”. Below that are types of templates – documents, spreadsheets, presentations, forms, and drawings – which corresponds to the various modules of Google Docs. The best filters are on the bottom as they are categorized by purpose. For example, there are templates for Calendars &amp; Schedules, Personal Finance, and many others.</p>
<p>Now lets select the category Students and Teachers at the bottom. My wife is a teacher, so she might wish to use one of these. All the templates that fit that category will be listed. There are a bunch of them so you may still want to filter by type. Select Document and Highest rating to narrow the list down more.</p>

<p>In each template there is a thumbnail of it, the title of the template and it’s creator, with the rating below the title. There are other links for rating the template yourself, embedding it on your own site by copying the code that is displayed when the link is clicked, and the a link to report abuse in case the template is something that is inappropriate. The description gives an idea of what the template does.</p>
<p>The above Reading Notes Template is one we might want to use so we can click “Preview” to see a sample. If you like it then click the “Use this template” button.</p>
<p>If you don’t see the template on your list, it is simple to find. Just do a search in the “Search Templates” box at the top.</p>

<p>The template will be open in your account. You can now edit it the way you want. For example our chosen template has fields marked by brackets.</p>

<p>We can replace “[AuthorLasName]” with the name of the author of the book we are taking notes about. Continue till you have all the other content changed. Then use the template as it was designed.</p>
<p>This is a very simple template. Others are more complex. But there are so many templates. If you wish you can create your own and even submit it by clicking on the “Submit a template” link in the upper right.</p>

<p>The new chart editor brings organizational charts, gauges motion charts in addition to many others that give you a broader choice to use when showing your data to others. the new charts editor also helps you tell a story with your data by finding the best chart for your data set.</p>

<p>With schools getting ready to ramp up for another semester soon, you may be looking for some good software tools to make going back to school easier. Here is our list of must have tools for school.</p>
<h2>Dropbox</h2>
<p>Writing papers and other projects is a key part of school. Backing those up is a must. Add synchronization to the mix and you get a great tool called <a href="https://www.dropbox.com" target="_blank">Dropbox</a>.</p>
<p>Sign up and install a utility on your computer or mobile device and the computer utility will create a folder called My Dropbox. Every file added to this folder is then uploaded to their cloud backup servers. Then, any other computer that has Dropbox on it will automatically download files when they are created or updated. You can also access your files from the web browser on any computer with an internet connection. Not only can you sync, but you now have no attention needed backups.</p>
<p>If you own an iOS device, Android device or Blackberry, you too can access Dropbox via the apps for those devices. The iPad version was our <a href="http://www.notebooks.com/2010/06/11/ipad-app-dropbox/" target="_blank">iPad App of the Week</a> back in early June. And finally, users can share documents, pictures or other files with friends too.</p>

<p><a href="http://www.notebooks.com/2010/07/04/google-apps-users-getting-full-google-services/" target="_blank">Google services</a> include Google&#8217;s Gmail, Docs, Talk, YouTube, Picasa and others.</p>
<p>The greatest benefit of the simple to use Gmail is the great spam filtering. Some schools may already be using Gmail for their email services even if they give their students an address like student@university.edu as Google lets anyone set up <a href="https://www.google.com/a/" target="_blank">Google&#8217;s apps for their own domain</a>. It is good to have a separate Gmail account anyway since you won&#8217;t always be a student at that school. Alternatively one could buy their own domain name and set <a href="http://www.google.com/apps/intl/en/business/savecosts.html#utm_campaign=en&amp;utm_source=en-ha-na-us-bk&amp;utm_medium=ha&amp;utm_term=google%20apps" target="_blank">Google Apps</a> to work with that domain.</p>
<p>Along with their great Gmail service Google offers <a href="http://docs.google.com" target="_blank">Google Docs</a>, a simple to use online office suite that lets users create and store word processing documents, spreadsheets, presentations, forms and drawings. Unless you need some advanced editing features, Google Docs may be the only office suite you need. It is online so you can access from them from any computer and most mobile devices and if you share a document with another student you can both edit the document at the same time.</p>
<p><a href="http://www.notebooks.com/2010/03/03/google-voice-reviewed-why-google-is-my-phone-company-and-should-be-yours/" target="_blank">Google Voice</a> will give you one phone number to ring all your phones. Since you can get a phone number anywhere in the U.S. this might be a good way to let family call you locally even though you live far away. Choose a Google Voice number in your home town and they can dial a local number and reach you at school. You can set Google Voice to ring any number including your mobile phone, your cell phone or temporarily some other phone.</p>

Then set up your own YouTube channel. Add to video Google&#8217;s Picasa service which is a very nice photo hosting site. It does more. In addition to uploading photos for sharing, you can also do some basic editing and order prints.</p>

<h2>Chrome</h2>
<p>If you are still using Internet Explorer or Firefox, then you are missing out. Google&#8217;s <a href="http://www.google.com/chrome/intl/en/landing_chrome.html?hl=en&amp;brand=CHMB&amp;utm_campaign=en&amp;utm_source=en-ha-na-us-sk&amp;utm_medium=ha" target="_blank">Chrome</a> browser is a faster alternative and still has many of the great <a href="https://chrome.google.com/extensions" target="_blank">extensions</a> that make Firefox so useful. Extensions are an add-ons that give additional functionality to the browser. Some great extensions include ones that save <a href="https://chrome.google.com/extensions/detail/hdokiejnpimakedhajhdlcegeplioahd" target="_blank">passwords</a>, <a href="https://chrome.google.com/extensions/detail/ajpgkpeckebdhofmmjfgcjjiiejpodla" target="_blank">sync bookmarks</a>, and respond to <a href="https://chrome.google.com/extensions/detail/lfkgmnnajiljnolcgolmmgnecgldgeld" target="_blank">mouse gestures</a>. A mouse gesture is where you move the mouse in a certain way and the browser responds. Click and hold the right button and drag to the left to go back a page in browsing history or to the right to go forward.</p>

<p>If you love games then you need Steam. This is a service that sells games for download legally. You buy it once and you can download it and play it on your PC or Mac. The Mac version is somewhat limited, but the PC version has an incredible amount of games. What is nice is there are no discs to keep track of and you can download the games again if you get a new computer or have a hard drive malfunction; there are also many demos to try out and sales are a common occurrence.</p>

The newest version has <a href="http://www.notebooks.com/2010/06/15/microsoft-office-2010-roundup-of-whats-inside/" target="_blank">some compelling things</a> to make it worth the upgrade for those on Office 2007 or earlier versions. The Home and Student version comes with Word, Excel, PowerPoint and OneNote. It is very likely that most students and professors will be using Office so sharing files will be easier if you do to.</p>

<p>There are five basic upgrades in Google&#8217;s cloud based office document editing tool.</p>
<p>First, links to documents can be shared in one of three ways: Private, Anyone with the Link, or Public. The difference is that private docs are only viewable by the person who created it and then anyone he or she has given access to via the sharing tools. An example is an expense report I recently sent my boss. I don&#8217;t want everyone to see it so I can set it as private and then share it with just him.</p>
<p>If you set the document&#8217;s sharing option to Anyone with the Link, then it can be accessed by any person who has been given the link. So if you email it to a person they can access it and share the link with others too. If you know the link you can access it. Google compares it to an unlisted telephone number. Anyone can call the number, but they have to know it. This would make it possible for a group of people, like the editors at Notebooks.com to collaborate on a story. Maybe the editors want to be able to send the link to friends in the tech industry to read, edit or contribute. But they don&#8217;t want anyone else to find it via Google search. If so, they could set it to this option.</p>
<p>The Public setting makes it open to all. The difference between this and the previous setting is that this one will be indexed by Google and other search engines. The &#8220;Anyone with the Link&#8221; setting means those docs won&#8217;t be indexed and accessible via search engines. So if you search for the document title in Google, the second kind of document won&#8217;t show up, but the third kind will eventually show up. <p>The second change is Google is also making it easier to see who has access to your documents from within the Google Docs window. The visibility options is shown next to the title of the document and in the docs list. The full list of editors and viewers is shown in two places    when you click on the visibility option next to the doc title and in the Share menu drop down menu.</p>

<p>Third, Google docs has a streamlined the dialog box that shows who has access to the documents, the access management features, and the option to invite others. Previously these were in three tabs within this dialog. Now there are no longer going to be tabs, but one box.</p>
<p>Fourth, now you can reset the document URL. This gives you more control over who can access it. If the link gets out and you want it more private &#8211; let&#8217;s say using the second  option &#8211; then you can reset the link and the previous one no longer works.</p>
<p>Finally, you can make changes to all your documents sharing settings at once. Select them all or just some of them and then click on the Share button. Select Share Settings and from there you can change who has access to the document.</p>
